Description
We are seeking a Payroll Communication Specialist to join our team. This role is essential in managing all aspects of payroll communication, acting as the point of contact for payroll-related inquiries from employees and managers, and ensuring smooth coordination with our payroll service provider. The ideal candidate will have a strong background in payroll processes, excellent communication skills, and the ability to troubleshoot and resolve issues efficiently.
Responsibilities:
- Conduct employee onboarding sessions to welcome new team members and introduce them to our company culture.
- Manage all administrative aspects of onboarding, including preparing and administering employment paperwork such as contracts, tax forms (e.g., W-4, I-9 verification), and benefits enrollment to ensure compliance with federal, state, and local tax laws.
- Ensure all new hires receive and acknowledge the employee handbook, understand company policies, and comply with legal and regulatory requirements.
- Coordinate with IT and other departments to arrange for workplace setups and necessary equipment.
- Maintain accurate and up-to-date HR files for all employees, ensuring that all tax and legal documentation is properly filed and accessible.
- Assist with developing and updating the employee handbook and onboarding materials as needed.
- Provide guidance and support to new employees on tax-related queries and ensure that they understand their tax obligations and rights.
Preferred:
Serve as the first point of contact for all payroll-related questions from employees and management across our 60 retail locations.
Liaise between our company and the payroll service provider to resolve any issues, ensure accurate payroll processing, and maintain up-to-date payroll records.
Communicate effectively with employees and managers about payroll deadlines, changes in payroll policies, and any system outages that may affect payroll processing.
Conduct regular audits of payroll processes and records to ensure compliance with federal, state, and local regulations.
Develop and implement strategies to improve the payroll communication process, enhancing overall employee satisfaction.
Prepare and distribute clear and concise payroll-related communications, including emails, newsletters, and memos.
Train and guide store managers on payroll procedures and best practices to ensure consistency across all locations.
Handle sensitive information with confidentiality and professionalism.
